Address Book

Practice-wide collection of communication information for contacts, patients, and users.

Archive

Folder containing items that have been archived. Typically an item is archived once it has been addressed.

Audit Trail

History of actions that have occurred to an item.

Auto Zoom

Magnification by rolling the cursor across an item.

Broadcast Message

Message sent by a practice user to all patients with a portal account.

Category

Collection of documents that corresponds with the same concept in the EHR software (e.g. Lab Reports, Doctor’s Notes).

Compose

Function that creates a message to send to a contact, patient, or user.

Contact

Someone other than a patient or user to send/receive items to/from.

Direct Messaging

Electronic communication method, similar to email but more secure, used to send/receive patient protected health information (PHI).

DirectTrust

Non-profit health care industry alliance that establishes and maintains rules, standards, and policies associated with the operation of the security and trust-in-identity layer for Direct exchange.

DirectTrust Activation

Process to enable participation in the DirectTrust Direct messaging network that involves identity verification of a practice representative or each user.

Family Access

Process that enables others to have access to a patient’s portal account.

Fax

Method to transmit electronic information over the telephone network.

Fax Coversheet

First page sent with a fax that indicates the sender, receiver, and additional information as defined.

Filter

Process to narrow a list down to a smaller subset that is more applicable to the need.

Form

Data entry screen that a practice can create on the Patient Portal to collect information from a patient.

Inbox

Folding containing incoming items.

Item

Fax, document, email, secure message, direct message, portal message

Item Type

Label that classifies an item (fax, email, file, etc.).

Patient Portal

Web application that patients use to access select information from their electronic health record.

Plugin

Enables the syncing of patient information for select EHRs.

Queue

Method to organize items in the Inbox, similar to file folders.

Reply

Process to respond to an item received from a sender.

Secure Message

Message sent between users at the same practice or a message sent between a user and a patient using the Patient Portal.

Send To

Function that sends an item to another user, patient, contact, or to a patient’s chart in the EHR system.

Sent

Folder containing items that have been sent to a recipient.

Signature

Function to place your signature on a document.

Sort

Process to sequence items in a specific order (date, from, subject, etc.).

Space

There are two spaces: practice and personal. Items are in one or the other.

Spam

Folder containing items flagged as Spam.

Tag

Colorful way to organize items in the Inbox.

Trash

Folder containing items that have been deleted.

Updox Central

Optional application that enables the automatic upload of documents/faxes from a centralized folder and use of a virtual printer to upload documents.

User

A person at the practice who has access to the application.

Virtual Printer

Method to upload documents from a computer to the application by printing to a virtual printer.

Workspace

Area of the application screen that lists the items.
